We’ve recently improved how time zones are handled when scheduling events, making the entire process clearer, more consistent, and far less error-prone.




How Time Zones Work Now

When you create an event in TeeTimeHelper, the time zone is automatically set based on your device or desktop clock at that moment. This ensures your event starts with an accurate local reference.

But here’s where things get smarter:

  • The time zone now stays with the event
  • It carries over when you copy an event
  • It’s clearly displayed during scheduling

You’ll now see labels like EST, CST, MST, or PST directly in the scheduling interface, so there’s no ambiguity about when invites will be sent.


Why This Matters

1. Clear Communication

Previously, the time zone wasn’t visible, and scheduling relied entirely on your system clock. Now, with the time zone displayed, admins know exactly what “5:00 PM” means.

2. Consistency Across Events

If you copy an event (which many organizers do for recurring games), the original time zone comes with it.

3. Travel-Proof Scheduling

This is a big one. If you’re traveling and your device switches time zones, TeeTimeHelper won’t suddenly shift your event times. New events you create will continue using the same time zone as your previous ones, keeping everything consistent for your group back home.


These updates bring two major improvements:

  • Visibility – You can now clearly see the time zone when scheduling.
  • Stability – Time zones persist across copied events and aren’t affected by device changes.

Plan Ahead: Use Scheduled Events to Prepare Your TeeTimeHelper Invitations ⛳

When organizing a golf group, timing matters. Sometimes you want to prepare your event details in advance without immediately notifying everyone. That’s where scheduled events in TeeTimeHelper come in.

With this feature, administrators can create and prepare an event ahead of time, finalize all the details, and then send invitations when everything is ready.

This approach gives organizers more control and helps ensure that the event runs smoothly once members receive their invites.


Create the Event Before Sending Invitations 📅

Instead of sending invitations immediately after creating an event, admins can schedule the invites to be sent later.

This allows you to:

  • Build the complete member list

  • Adjust tee times

  • Review event details

  • Randomize players if needed

  • Lock the event before invitations go out

By scheduling invites, you can prepare everything in advance and make sure the event is fully organized before members are notified. This helps avoid confusion and minimizes last-minute adjustments.


Prepare the Member List in Advance 👥

Before invitations are sent, admins can carefully review and prepare the player list.

You can:

  • Add or remove golfers

  • Adjust tee times

  • Move players between groups

  • Organize the event exactly how you want it

Once the event is ready, the invitations will go out automatically at the scheduled time.


Edit Individual RSVPs Easily ✏️

While TeeTimeHelper includes a batch RSVP editor, sometimes you only need to update one golfer.

Admins can simply click the edit icon next to a golfer’s name to change their RSVP individually. This makes it quick and easy to correct or update a single response without affecting the rest of the group.


Finalize Custom Questions and Tee Time Notes 📝

Before invitations are sent, administrators can also finalize additional event details such as:

  • Custom questions for members to answer when they RSVP

  • Notes for each tee time (for example: cart arrangements, match formats, or special instructions)

Preparing these details in advance ensures that golfers receive clear information when they view the event and RSVP.


A Better Way to Organize Your Golf Events

Using scheduled invitations helps admins stay organized and reduces the need for follow-up changes after members are invited.

By preparing the event ahead of time, you can:

  • Organize the roster

  • Confirm tee times

  • Add questions or notes

  • Review all details before members are notified

Once everything is ready, the invitations are sent and your golfers can RSVP with confidence.

Tip: Many admins create their events a day or two early so they have time to review the roster and make adjustments before invitations go out.

TeeTimeHelper Chat Notifications Are Getting Better

At TeeTimeHelper, our goal is to keep everyone in your group informed—without overwhelming you.

What’s Changing?

Until now, if there were new chat messages in one of your events, you received a nightly email letting you know there were new messages—but the email did not include the actual message content.

This worked, but it wasn’t ideal.

Many of you use the TeeTimeHelper app and receive real-time push notifications that include the actual chat message instantly. Email users, on the other hand, had to wait for the nightly summary and then open the app or website to see what was said.

We’re fixing that.


🚀 Moving to Real-Time Email Notifications

Going forward:

  • Chat notifications for email users will be sent in real time just like app users

  • The email will now include the actual new message

  • Email notifications will match the experience of push notifications in the app

This keeps everything consistent whether you’re using the mobile app or just email.

If someone posts in the group chat, you’ll see the message right away—no more waiting for a nightly summary.


Want Fewer Notifications?

You’re always in control.

If you’d prefer not to receive notifications:

✅ RSVP “No” to the Event

If you RSVP No, you will stop receiving:

  • Email notifications

  • Push notifications
    for that specific event.

⚙️ Turn Off Chat Notifications Entirely

You can also disable chat notifications in your Settings if you’d prefer not to receive chat messages at all.


Why We Made This Change

This update keeps email users aligned with app users and makes communication more immediate and transparent. When someone sends a message, everyone sees it at the same time—no delays, no confusion.

As always, our goal is to make organizing and managing tee times as smooth as possible.

Real-Time Chat Notifications Are Here 🚀

 

Get Instant Updates with the TeeTimeHelper App

Staying connected with your golf group just got easier.

TeeTimeHelper’s Chat feature now sends instant push notifications to anyone who has the TeeTimeHelper app installed. That means when a new chat message is posted, you’ll see it right away — no waiting, no refreshing, no missed updates.

📲 Why Installing the App Matters

If you have the TeeTimeHelper app installed:

  • ✅ You’ll receive immediate push notifications for new chat messages

  • ✅ Perfect for last-minute updates like tee time changes, weather alerts, or open spots

If you do not have the app installed:

  • 📧 You’ll receive a daily reminder email letting you know that you have unread chat messages

  • ⏳ Messages are still available, but notifications are not real-time

For the best experience — especially on busy golf days — installing the app is highly recommended.

💬 Who Can Send Chat Messages?

  • Anyone in the group can send messages using the event’s Chat feature

  • Chats are ideal for quick questions, coordination, and general conversation

Important: Members who have already RSVP’d No will not receive notifications. However, all chat messages remain visible if they later check the event status.

🛠 Admin-Only: “Send Msg” for Immediate Delivery

In addition to regular chat messages, admins have access to the “Send Msg” feature under Admin Tools.

This feature is designed for announcements, not conversation:

  • 📢 Messages are delivered immediately

  • 📲 Sent as push notifications to app users

  • 📧 Sent as emails to selected members

  • 🎯 Admins can target a specific subset of the group:

    • RSVP Yes

    • RSVP No

    • No Reply

    • Waiting List

  • 🔒 One-way communication (members cannot reply)

  • 🔐 Available to admins only

This makes “Send Msg” perfect for things like reminders, last-minute changes, or important instructions without creating a chat thread.

⛳ Best Practice for Groups

  • Encourage members to install the TeeTimeHelper app for real-time notifications

  • Use Chat for two-way group conversation

  • Use Admin → Send Msg for important one-way announcements

  • Target only the members who need the message (Yes, No Reply, Waiting List, etc.)

Clear communication helps events run smoothly — and real-time notifications mean fewer surprises on golf day.
