TeeTimeHelper Splits the Fairway with New Email Standards Compliance

TeeTimeHelper uses mail communication to invite members and notify them for changes and messages. As technology continues to evolve, so do the standards and regulations surrounding email communication. Staying in compliance with these new standards is crucial for TeeTimeHelper to maintain trust, security, and legality in their online interactions. Implementing the latest email standards ensures that messages are delivered reliably, securely, and in a manner that respects user privacy.

One of the key aspects of compliance with new email standards involves adhering to protocols such as SPF (Sender Policy Framework), DKIM (DomainKeys Identified Mail), and DMARC (Domain-based Message Authentication, Reporting, and Conformance). These protocols help authenticate the origin of emails, prevent spoofing and phishing attacks, and provide guidelines for handling messages that fail authentication checks. TeeTimeHelper prevents members from double-booking events

As you probably know a single member can only sign up once for a particular event. But now  TeeTimeHelper helps prevent double booking of multiple events on the same day/time.

We have noticed golf and pickleball groups scheduling two events on the same day and around the same time. Perhaps they are for different courses, or specialty divisions that require separate TeeTimeHelper events.

TeeTimeHelper will prevent a member form signing up for a second event within a 2 hour window of another event signup by the same member.

This check helps avert double-bookings which can cascade into bigger problems and cause confusion at a later time. 

Checking for double-bookings is automatic and requires no additional steps to be taken by the group administrator.

Set up multiple golf events with one email invite

TeeTimeHelper supports `Combined Events` which allows you to setup multiple events and only send one invite per member. This is a handy feature for those golf groups who have frequent events and wish to reduce the number of invite emails sent and received.

For each event make sure to select `Combine with Other Events` under the option `When to Send Invites?`.

All events with this setting will be processed at 8pm in your local time zone. Only one invite per member will be sent with information on how to access their new events. 

Whether you have one combined event or twenty, each member will only receive one email, simplifying messaging and reducing potential confusion from your members.

Schedule Golf Event Invites with TeeTimeHelper

TeeTimeHelper allows you to set up a golf event and schedule the time and day when invites are sent to your members.

While creating your event you have the following options:

  • Send Invites Immediately (default)
  • Schedule invites on a given day and time
  • Combine invites with other events to minimize email notifications
  • Postpone invites until you take action later



Once you set the invite day and time press `Create Event` and your invites will be sent. Note that the invite day/time is based on the time zone you are using when creating your event.

Use TeeTimeHelper to Track No-Shows for your Golf Event

Setting up events takes careful planning, and few things are more frustrating than players not showing up. After putting in time, effort, and resources to create a great experience, no-shows can leave organizers feeling discouraged.

With TeeTimeHelper, you can now track no-shows and view long-term statistics to spot trends and make informed decisions about future events.


How to Track No-Shows:

  1. Go to any completed golf event.
  2. Click on the 'Members' dropdown menu and select 'Track'.
  3. Mark the players who didn’t attend.
  4. Click 'Members'  and then 'Stats' to see reports for all time, the past 12 months, or the past 6 months.

With this data, you can identify players with a high no-show rate and decide how best to manage future invitations.

TeeTimeHelper golfers enjoy exclusive access to fill out their tee times

 TeeTimeHelper has introduced a locking system to allow members exclusive access to their chosen tee time in order to add their playing partners.

When a golfer RSVPs 'yes' to an event they have the option to add their playing partners.  Previously, some members encountered a situation where another invitee has taken a slot in the same tee time before they can finish adding their preferred playing partners.

We have solved this problem by giving members exclusive access for a limited time to fill out their tee time. Our system has optimized this procedure - if a user does not indicate they are adding members TeeTimeHelper automatically frees up the remaining slots for others. If we detect the user is in the process of adding more members the lock time is extended.

When golfers RSVP the default tee time is usually the first available. If a tee time is temporarily locked the next tee time will be the default. This means we minimize waiting when a tee time is temporarily locked and in most cases it is transparent to the other members.

A countdown time is displayed on the main event page for the tee times that are currently locked. Once the timer ends it completely disappears from the screen.

Please note that the tee time locking feature is only available for paid accounts for events with 20 or more members.

Setup your golf event and send invites at a later date

 We are rolling out a feature which allows golf admins to setup a golf event with members but not send the invites out immediately.



As the admin, this allows you to add all of your members and get the system setup just the way you want it. You will be notified at the top of the event page that invites have not been sent and gives you the option to send invites at your chosen date/time.

This feature will give you more control over your events and allow you to plan your golf events better.
