TeeTimeHelper streamlines communications and reduces inbox clutter with consolidates messages

Combining email status messages into one email streamlines communication, reduces inbox clutter, and enhances efficiency by providing a consolidated overview of multiple updates in a single convenient message.

For the first day after an event is created we are using summary confirmation messages. This combines multiple RSVP confirmations into one e-mail. The summary emails will be sent at intervals throughout the first day when there are RSVP changes to your event.

After one day the RSVP messages will be sent individually in  real-time.

Why are we making this change?

Typically when an event is created there is an influx in responses which can easily overwhelm the recipient and cause extra effort dealing with emails. Summary messages help admins get the information they need without the extra work.

After one day you will receive RSVP notifications individually in real-time so you are up to date with any changes.

As always, you can control the e-mails you receive by pressing the settings button at the top of any event.

Empower Your Team: Adding Extra Admins to Your TeeTimeHelper Account

Managing Events with Extra Admins on TeeTimeHelper

Are you ready to take your event management on TeeTimeHelper to the next level? Whether you’re organizing weekly golf outings or special tournaments, having extra admins on your account can streamline the process and make collaboration easier than ever. Here’s everything you need to know about adding extra admins and how they can help you manage events more effectively.

Why Add Extra Admins?

Managing events can be a lot of work, especially when coordinating RSVPs, setting up schedules, and handling last-minute changes. By adding extra admins to your TeeTimeHelper account, you can delegate tasks and ensure your events run smoothly, even when you’re not available. It’s a simple way to share the workload while maintaining complete control over your membership.

Key Features of Extra Admins

  1. Paid Membership Required To add extra admins to your account, you’ll need to be on a paid TeeTimeHelper membership plan. This ensures you have access to all the premium features required for seamless event management. Once your membership is active, you can invite others to join your team as admins.

  2. Number of Extra Admins Based on Membership Level The number of extra admins you can add depends on your membership level. Higher-tier plans allow you to invite more admins, giving you greater flexibility to manage your events effectively.

  3. Full Authorization for Events Extra admins have full authorization to manage your events—past, present, and future—where they are invited as members. This includes:

    • Editing event details
    • Managing RSVPs
    • Communicating with event participants

With these privileges, your admins can handle event logistics without needing constant oversight.

  4. Create New Events Extra admins can also create new events using your paid membership level. This means they can:

    • Utilize your membership features, such as premium scheduling tools or custom event settings
    • Expand your group’s calendar with minimal effort

Whether it’s a casual game or a large-scale tournament, your admins can organize it all under your account.

  5. Privileges Apply to Past and Future Events Admin privileges are retroactive and forward-looking. This means your admins can step in to manage past events that require updates (such as adding scores or reviewing RSVPs) while also having full control over upcoming events. It’s the ultimate flexibility for busy organizers.

How to Add Extra Admins

Adding extra admins to your TeeTimeHelper account is quick and easy. Here’s how to do it:

  1. Upgrade to a paid membership plan if you haven’t already.
  2. Navigate to the “Admins” section in your event settings.
  3. Invite trusted team members to join as extra admins by selecting their email addresses.

TeeTimeHelper Automatic Waiting List

TeeTimeHelper creates an automatic waiting list when the number of attendees exceeds the allotted tee times.

There is one waiting list per event. The order of members on the waiting list is maintained and when a slot becomes available in any tee time the first member on the waiting list list is automatically moved into that slot.

Members are automatically moved into available slots under the following three conditions:
  • When a tee time slot becomes open after a members RSVP changes from 'Yes' to 'No'
  • A new tee time is added
  • The maximum number of players per tee time is increased
Based on the above actions the waiting list created, maintained and removed automatically.

New Feature: Create a Golf Event and Immediately Lock It

One of our fellow golf captain made a suggestion to immediately lock golf events right after creating it. This prevents members from RSVPing for the event.  He wanted to do this in order to arrange his tee time first and then open up the RSVP's to the rest of the members.

We made this an option under your 'Settings' area which also contains options to receive confirmation e-mails.

The default setting is 'off' for this feature. However, once you enable this setting it will lock all new events. As a reminder, all settings are linked to your e-mail address and used for all events.

In order to allow your members to RSVP you will need to press the 'Unlock' icon and confirm the action under your event options.

If you have any questions please contact us.
